Frequently Asked Questions

Can I share my subscription with other organizers at my organization?
All single events and the Lite and Plus subscriptions are designed for individual organizers and departments. Each of these packages are tied to the account holder, who solely has access to the administrative capabilities to manage events.

While you may share your Symposium account credentials with other co-organizers, we would recommend that you should avoid having other organizers access the account at the same time, as that could lead to technical issues. Also, anyone accessing your account will have access to all your events, so they would need to be careful to not modify the settings of other events.

Individual organizers and departments can purchase their own single event or subscription packages to host their events. If there is widespread interest in using the platform for many events and your organization is looking for added administrative capabilities, integration with SSO, and flexibility, we’d recommend the Enterprise tier. Please contact us at [email protected] for more information.
If I can’t pay by card, can I pay by check or via our vendor management system?
We accept payments by check or via your vendor management system; you will need to email us at [email protected] and provide the following information: (1) the package you’d like to purchase, (2) your name, office, organization name, and office address, (3) email you’d like associated with your account on Symposium through which you will manage your events. Please note that you will only receive access to your account on Symposium after payment is received, so if you are in a rush we would recommend you pay by card.
Who is considered a participant?
Anybody who signs up and registers to participate in your event will be considered a participant. This includes presenters, attendees, judges, organizers, and any others. If your event is open for public viewing, viewers who do not sign up and register will not be counted towards the participant limits.
For paid events, is there a registration system offered through Symposium?
We are currently developing a pre-registration system, with the ability to handle ticket purchasing directly on Symposium if you are hosting an event with registration fees, but at the moment you will need to use an external tool to handle that process.
For paid events, how is the per registrant fee calculated and transacted?
The per registrant fee is currently based on the number of registrants participating in your event who paid a registrant fee. For example, if your event has 100 attendees who registered for free and 200 who purchased a ticket, we will charge $3.99/registrant for those 200 registrants.
Is Symposium compliant with accessibility guidelines?
We have taken several measures to meet accessibility standards, including integrating an accessibility tool offering a variety of accessibility features (check out the icon on the bottom left corner on the site). We can provide a VPAT upon request - please contact us at [email protected].
My organization will need to do an IT review, what information can you provide?
We can provide a completed HECVAT Lite upon request - please contact us at [email protected].
What happens to all my events and content if I discontinue the subscription?
If you discontinue your subscription, you and your presenters and attendees will lose access to all events hosted under your subscription and their content.

You can export all of the submission content (all the information collected through your event submission form) beforehand, however.
Upon request, we can also delete all your event content from Symposium.
